Our base offering is 10 end-user licences (Performance Widget) for three months; however you have the flexibility to procure as many of each license type as you require following initial sign-up. You can increase or decrease licences numbers each month to suit your business needs.

Frequently Asked Questions

I don’t have unit timings for processes or tasks, can I still use Optic-Mi?

Yes. Our Performance Widget can be used to understand your AUTs (actual unit timings), as we realise not all organisations have these metrics readily to hand. During the configuration process you can set your SUTs (standard unit times) to any suitable default value i.e. 1 minute. Subsequently, following a period of data collection and analysis you can update your SUTs accordingly.

I don’t want to measure productivity, I’m only interested in the Process Insight and Customer Journey aspects of Optic-Mi, can I do this?

Yes. Our Performance Widget can be introduced to suit a specific business need, it simply requires a slightly different implementation approach to ensure employees are engaged accordingly. End users update our Performance Widget in a consistent manner, consequently it’s the use of the report outputs that differ.

Is this simply a mechanism to make employees work faster?

Not at all, but it is a mechanism to help staff work smarter. Our Productivity reports detail each employee’s performance by the individual processes or tasks they’ve worked across your selected reporting period. Subsequently, our reports highlight work items employees are excelling at and ones they may benefit from some support i.e. employee A may work 8 different processes and perform below the benchmark overall, yet it’s only one of those process that is severely impacting their performance. Thus, offering line managers clear insight to direct targeted coaching or peer support in specific areas significantly improve the employee’s overall performance and the cost to serve for said processes.

How can we be confident the information entered into Optic-Mi is correct?

If you’re confident your employees are entering data into your core systems correctly for your customers each day, you should have nothing to be concerned about asking your staff to make simple selection entries into Optic-Mi.

How quickly can we make changes for end users, such as adding or removing process steps or amending SUTs (standard unit times)?

Process and Task changes will be live in the system from the moment your System Administrator makes a change. Regarding SUTs, Optic-Mi has a date parameter approach detailing when an SUT becomes effective from and to. Therefore, updates can happen at anytime and our reporting assess all applicable SUT(s) during a specified reporting period. We’d strongly encourage making these changes in advance of the SUT becoming effective, in parallel with your employee engagement approach.

We don’t allow customer data to be used outside of our organisation, how we can use Optic-Mi?

We’ve intentionally designed our solution NOT to receive or hold any customer data, as it isn’t required and introduces unnecessary data sharing risks. Optic-Mi is constructed to only capture a unique CRN (customer reference number) to allow you, our client, to measure the impact of customer experience and fully evaluate cost to serve. The CRN is to be chosen by you and communicated in your deployment plan i.e. policy number / application reference / membership number – one which allows you to investigate the root cause of risks or opportunities across your internal systems from the insight Optic-Mi illuminates.

How secure is my data?

Completely secure. Optic-MI is designed on cloud infrastructure from the world leading Microsoft Azure cloud framework which boasts over 140 certifications for security including the UK governments own Impact Level 2, ISO27001 and ISO 9000. Optic-MI take the security of our application and your data seriously and provide full encryption for data at rest and in transit..

How easy is it to swap licence ownership?

Super easy! Your system administer can move licences between named employees within your organisational. When an employee doesn’t have at least one end-user licence against their profile, it’ll prevent access to the system until they’ve an active licence.

How easy is it to reduce licences?

Super easy! Simply send an email to license.updates@optic-mi.com and any increase in licenses will be made available with one hour. The removal of licenses will be activated within 5 working days.

If you’re within the first three months of your subscription and have procured more than the minimum threshold of 10 Performance Widget licenses, you can reduce back to the minimum whilst in this period. After that, you can scale up as high as needed and back to zero as often as it suits your business, your monthly invoice will simply adjust to reflect any movement in license numbers.

Are reports created for me?

Yes. There is a standard reporting suite which is split into two tiers. The first, for managers and system administrators, offers full access to all our pre-defined reports. Secondly, end users have a small selection of reports to see their own performance data to support self-management and analysis.

What support arrangements are covered in the pricing?

To keep our pricing as competitive as possible our support engagement is conducted via email and has an initial response time of 2 calendar days.  As our solution isn’t business critical, unlike your core IT systems, your staff can still do their job in the unlikely event Optic-Mi is unavailable.  Technical issues with our solution are incredibly rare, so we’ve favoured keeping costs as economic as possible with an appropriate support wrapper.
